How Zedek's Digital collects, uses and protects personal information on zedeks.com and in every product we build and run in house. One policy, with a short page for each product.
Who we are and how to reach us
Zedeks (zedeks.com) is run by Zedek's Digital, a business name registered in Ghana as a sole proprietorship owned by Melchizedek Ame Logosu. For the website and for our own products, Zedek's Digital decides how personal information is used. Under Ghana's Data Protection Act, 2012 (Act 843) that makes us the data controller for that information.

We have applied to register with Ghana's Data Protection Commission and will publish our registration number here when it is issued.

The short version
- We collect only what we need to run the website and our products.
- We do not sell personal information, and we do not use it for advertising.
- The website zedeks.com sets no cookies and loads no analytics, advertising or tracking scripts.
- Our servers are rented from HostUp AB in Sweden, so information we hold is stored outside Ghana.
- When we hold information for a client (a school, a shop or a business that sends messages), the client decides how it is used and we act on its instructions.
- You can ask to see, correct or delete your information at any time. See Data Deletion.
The website
Contact form
When you use the form on our contact page we receive your name, your email address, what you are building, and anything else you choose to add (the stage your project is at, a budget, a timeline or a link). We use it only to reply to you and to discuss your project. The form sends your message to our info@zedeks.com mailbox through SMSGist, our own messaging service, so a copy is also kept in our SMSGist account's message history. We keep it for as long as we need it to deal with your enquiry and any work that follows.
Newsletter
If you add your email address to the newsletter box, it is sent to our info@zedeks.com mailbox through SMSGist, and a copy stays in our SMSGist message history. We use it only to send you occasional notes about what we are building. You can unsubscribe at any time by writing to info@zedeks.com.
Server records
When a form is submitted, our server writes a short record with the time and a one-way code made from your email address, not your name, your email address itself or your message. It helps us spot repeated or abusive submissions. To stop spam, the forms also count sends from each IP address, in memory only, for 10 minutes. Like most websites, our web server may also keep short technical records of requests, such as the IP address, the time and the page asked for, which we use only to run the site and protect it.
Cookies
zedeks.com does not set cookies. Our Cookies page explains what the website stores on your device.
Messaging us on WhatsApp, Telegram, SMS or email
When you contact us, or use one of our products, through WhatsApp, Telegram, SMS or email, we receive your phone number or account ID, your profile name, the messages, photos, voice notes and files you send, when they were sent, and whether our replies were delivered. We use them to reply to you and to provide the product you asked for. We keep them for as long as we need them to answer you and to provide the product you use. Where a product keeps chats for a set time, its page says so.
WhatsApp is run by Meta and Telegram is run by Telegram. They carry, and may store, your messages under their own privacy policies, which also apply when you use them to reach us.
We use WhatsApp Business messaging for Zedek's Digital and our products through Meta's WhatsApp Business Platform. We only message you on WhatsApp after you have contacted us or agreed to hear from us. To stop our WhatsApp messages at any time, write to info@zedeks.com.
How we use information and why we are allowed to
- To provide what you asked for, such as an account, a message, a document or a quote. This is needed to carry out our agreement with you.
- With your consent, for example the newsletter or an optional survey. You can withdraw consent at any time.
- To keep our services safe, and to prevent fraud, spam and abuse.
- To meet legal duties, such as keeping payment and tax records or answering a lawful request from an authority.
We do not use your information to train AI models.
When we act for someone else
Some of the information in our products belongs to our customers' own records: the contacts and recipients of a business that sends messages through SMSGist, the records of a shop that uses GyalaOS, and the software we build or host for clients. When Edupah School Management System and The Butler CI open, the same will apply to a school's records and to the apps a customer hosts.
In those cases the customer is the data controller and we are its data processor. We use that information only to run the service for the customer and on its instructions. If your information came to us this way, please contact that organisation first. If you contact us instead, we will pass your request on to them.
Where your information is stored
Our servers are in Sweden, in the European Union, where our hosting company must follow the EU's data protection law (GDPR). Telegram, Meta, Paystack and Anthropic (our AI provider) may handle information in other countries under their own terms.
How long we keep it
We keep personal information only as long as we need it for the purpose it was collected for, then delete it or make it anonymous. Each product's page says how long that product keeps its data.
Payment and tax records are kept for as long as Ghanaian law requires. If a copy sits in a backup, it is deleted when that backup is overwritten or removed.
Keeping it safe
We use measures such as encrypted connections to protect personal information, and we are reviewing the security of our products. No system is completely secure. If a breach puts your information at risk, we will tell the Data Protection Commission and the people affected as soon as reasonably practicable, as Act 843 requires.
Your rights
Under Act 843 you can:
- ask whether we hold information about you and get a copy of it;
- ask us to correct information that is wrong or out of date;
- ask us to delete it (see Data Deletion);
- object to how we use it, including for marketing;
- withdraw consent you gave earlier.
To use any of these rights, email info@zedeks.com with "Privacy request" in the subject. We may ask you to confirm who you are before we act. We will confirm we have your request within 3 working days and complete it within 30 days, free of charge.
Age and children
Edupah Scribe is only for people aged 18 and over. SMSGist and GyalaOS are also for people aged 18 and over. SkillsDey, The Butler CI and Edupah School Management System are not open yet; we will set out their age and consent rules before they open.
Teachers using Edupah Scribe should not send photos that show pupils' names or other personal details.
Complaints
If you are unhappy with how we handled your information, please tell us first at info@zedeks.com so we can put it right. You can also complain to the Data Protection Commission of Ghana, Accra (dataprotection.org.gh).
Changes to this policy
When we change this policy we will update this page and the date at the top. If a change is significant, we will also tell you in the product you use.
